In occupational rehabilitation, progress doesn’t always stall because a client isn’t improving; often, it stalls because communication isn’t clear or aligned. When multiple stakeholders are involved, even small gaps in understanding can delay confident progression.

GP case conferences bring the client, GP, treating clinicians, the Rehab Provider and sometimes the insurer and employer, together to discuss progress, barriers, and next steps in real time. By allowing decision-makers to hear directly from the clinicians who know the client best, these conversations reduce misinterpretation and support timely, well-justified return-to-work decisions.

We spoke with our Exercise Physiologist Eric, who regularly participates in GP case conferences, to explore when they’re most useful and why they can be a turning point in complex claims.

 

When are GP case conferences most useful?

In Eric’s view, most cases would benefit from a GP case conference, but particularly when progression decisions are approaching or when momentum has slowed.

“In my experience, an upgrade in work capacity is more likely when the EP is present in the conversation,” he explains.

That’s because EPs have direct, first-hand insight into a client’s physical function, fatigue tolerance, and day-to-day capacity, information that can be difficult to fully capture in written reports alone. While emails and progress notes are valuable, they don’t always convey the nuance of how a client is functioning in real time.

“There have been cases where dialling in for a short conversation has been far more effective than sending an email update. Being able to explain what I’m seeing live often gives the GP confidence to justify an upgrade.”

 

Why direct communication matters

One of the biggest risks in complex claims is information becoming diluted as it moves between parties, what Eric refers to as a “Chinese whispers” effect.

“When updates are passed through multiple people, intent and nuance can get lost,” he says. “In a case conference, the information feels more trustworthy. Everyone hears the same thing, at the same time, in the same context.”

Importantly, these conversations go beyond hours and duties. They provide space to clarify the broader goals of the claim, discuss pacing and progression, and align expectations around timelines, including how work goals fit alongside the client’s personal priorities outside of work.

“It helps everyone stay aligned and focused on the same outcome, rather than pulling in slightly different directions.”

 

The EP’s role in a GP case conference

As an EP, Eric’s role in a case conference is practical and grounded in observed function.

“At its core, it’s about updating everyone on how the client is actually going, what they can do, what’s improving, and what’s holding them back.”

Rather than relying on multiple written updates being passed between providers, the case conference creates a direct line of communication between the GP, insurer, rehab provider, and clinician. This allows the EP to clearly explain functional progress, highlight barriers to progression, and recommend appropriate next steps, including updates to the Certificate of Capacity based on what the client has demonstrated in sessions.

 

Benefits for both the clinician and the client

GP case conferences don’t just support decision-making, they also provide valuable context for the treating EP.

“Sometimes things come up in a case conference that don’t surface in sessions,” Eric explains. “You might learn about barriers the client hasn’t voiced directly.”

That added insight allows EPs to better understand client behaviour, adjust strategies, and proactively address obstacles. Following a case conference, Eric focuses on clarifying what was discussed, identifying agreed next steps and translating outcomes into a clear action plan to keep the claim moving forward.

From the client’s perspective, these conversations are often reassuring. The EP is usually the clinician they see most frequently, so there’s already a strong level of trust. For clients who feel anxious, having their EP speak on their behalf can significantly boost confidence.

“Clients don’t always have the language to describe what they’re doing in EP sessions or how their capacity has changed,” Eric notes. “We can translate that progress into terminology that makes sense to GPs and insurers.”

 

Why this matters for return-to-work outcomes

For referrers across workers compensation, life insurance, and occupational rehabilitation, GP case conferences support clearer, more confident progression decisions. By reducing miscommunication and aligning stakeholders around shared goals, they help avoid unnecessary delays and support safer, more sustainable return-to-work outcomes.

Sometimes, the most effective intervention isn’t another report, it’s a conversation.
